I run a clinic. What would this look like?
Your practitioner’s three o’clock was booked six weeks ago and blocked out forty minutes of an afternoon that was arranged around it. The room is warm, the instruments are laid out, and at ten past nobody has come through the door.
By half past you’ve given up. That’s a paid clinician sitting still, a room being heated for nobody, and the patient you turned away last week for that slot getting seen somewhere else.
A reminder the day before is the cheapest thing in this entire business, and most clinics still send them by hand or not at all.
And then there’s the eight-months-ago problem.
Somewhere in your records is a list of people who were seen last spring, were told to come back in six months, liked you, would come back if asked — and have not been asked, because nobody has ever had a free afternoon to go through it.
That list is the most valuable thing you own. Everyone on it has already chosen you once, already knows where you are, already trusts you. It costs nothing to win them back because you never lost them.
It is also, in almost every clinic I’ve looked at, completely untouched. Nothing else you could do this year comes close.
What you hold is not an email list.
Health information carries obligations that a shop’s customer list doesn’t, and the consequences of getting it wrong aren’t commercial — they’re regulatory, and they attach to you personally.
Records stay in your own accounts, under your control, and a request for anyone else’s is refused before our code is even asked. If a patient asks you to erase them, that happens properly and you can show that it did.
What actually changes, in the order it matters to you.
- Every customer hears from you at the right moment, and nobody sends one by hand.
- The follow-up that always gets forgotten, never gets forgotten.
- A customer's history is remembered forever, so nobody re-explains anything.
- Only you can open your files. Anyone else asking is refused by the lock itself, not by a rule we wrote.
- Orders arrive without anyone writing them down.
- Everything about every customer sits in one place, and it's yours.
- If you want your data gone, it goes, and you don't have to chase anyone.
- Your ads point at your street, not your country.
- Money's collected, receipts go out, and nothing gets chased.
- There's one number that tells you whether it's working.
The audit will tell you what someone finds when they look for a clinic near them and land on you first.
